Supporting any of the three major date formats, any currency and a variety of different tax methods, including Sales Tax (USA) VAT (UK) and GST (AU) Pet Sitter Plus boasts a wide range of functionality and can be used in many countries around the world.

1.0 Client / Pet / Routine Database

1.1 CLIENT / PET SEARCH. Search for key phrase or partial phrase. Great for finding a client if you only have a small piece of information like a partial phone number or partner forename.
1.2 CLIENT DATABASE. Includes client name and address, email addresses, phone numbers, partner details, notes and more.
1.3 PET DATABASE. Linked to the client data, pet data includes details of the pet, (name, type, breed DOB, neutering etc), veterinary details and notepad.
1.4 ROUTINE DATABASE. Also linked to the client database. This records sitter instructions to enable them to successfully complete a visit. Information includes house entry and exit routines, locations of supplies, medication and other feeding and care instructions.

2.0 Service Order Functions

2.1 ADD SERVICES.
2.2 EDIT SERVICES.
2.3 CANCEL SERVICES. Services are removed from the diary but remain on the invoice to remind clients of the services they booked and then cancelled.
2.4 VOID SERVICES. This facility is used to remove services that appear due to your own administrative error. Voided services are removed from the diary and the invoice but still appear on the service order (greyed out) as part of the full audit trail.
2.5 SERVICE ORDER NOTES. A facility to add either private or public comments to a service on a service order. Public comments are a useful means of communicating with your clients and are included on the invoice. Private comments are instructions to sitters and appear in the diary or schedule. A very useful feature to get key information to sitters.
2.6 DELETE SERVICES. If a service is created in error it can be deleted subject to certain conditions.
2.7 DELETE SERVICE ORDER. If a service order is created in error, it can be deleted subject to certain conditions.
2.8 RECURRING SERVICES. Store details of your regular service requirements and automatically create service orders at the touch of a button. Saves time inputting repetative data.

3.0 Administrator Diary

3.1 DIARY VIEW OPTIONS. View all your work (at company level) in a centralised diary view. Select date range to view including 1 day, 7 days, calendar month or a specific date range. Diary shows services for each day organised by pet sitter and displayed in period columns.
3.2 DIARY COLUMNS. Period columns are user definable (for example Morning, Midday, Afternoon and Other). The start time of the service governs which diary period column the service appears in.
3.3 DAY AND PERIOD TOTALS. View total revenue for each day with period totals.
3.4 DIARY DRILL DOWN. Click on any diary entry to re-assign it to another sitter or to gain access to the full client account and all scheduling functions.

4.0 Sitter Availability Planner

4.1 DETAILS. View the availability of staff involved in any kind of work. See information for all boarders at a glance and see how many dogs are staying with each boarder by month.
4.2 HOLIDAY MAPPING. Holidays entered into the system are clearly visible in the planner which enables administrators to avoid booking services when staff are not available.
4.3 RESOURCE CAPACITY. Set a maximum capacity for each pet sitter. For example setting a capacity of 2 signifies that a home boarder can manage a maximum of 2 dogs staying in their home on any given day.
4.4 DRILL DOWN. Click on an entry on any given day and see the dogs that are scheduled to stay and the details of any payments made. This information helps you to spot bookings that are about to start that remain unpaid and prevent bookings from going ahead without payment.

5.0 Sitter Functions

5.1 SITTER SCHEDULE. View a list of jobs between date ranges (default view is “today”). The sitter schedule provides all information that the sitter requires in order to allow them to complete their work for the day.

Features of the sitter schedule include;

  1. Drill Down A drill down into client / pet / routine database (restricted to the clients listed in the schedule).
  2. Mark Work An ability to mark work “acknowledged” (meaning yes I’ve seen it and I’m going to do it) and “complete” (I’ve now done it).
  3. Commission Sitter commission totals for the jobs listed.
5.2 SITTER DIARY. Contains all the features of the administrators’ diary but limited to show only the services for the sitter viewing the report;

  1. View Options. View all work for a single staff member in a single page diary view. Select date range to view including 1 day, 7 days, a calendar month or a specific date range.
  2. Period Columns. Visits / Services are organised into columns (for example Morning, Midday, Afternoon and Other).
  3. Day and Period Totals. View total commission for each day with period totals.
  4. Drill Down. Click on any diary entry to gain access to the full client account and all scheduling functions.
5.3 COMPENSATION REPORT. View detailed compensation report between any given date range.
5.4 HOLIDAY ADMINISTRATOR. Enter holiday dates on a calendar creating an email for approval by administrator / manager. Holiday entered is then clearly visible in scheduling programs such as the diaries and the planner.

6.0 Accounts Receivable Module

6.1 OVERVIEW. Pet Sitter Plus has at its core a full account receivable module. This includes comprehensive facilities for invoice production, effective credit control and VAT reporting. Now there is no need to double post invoices to your QuickBooks or Sage accounting system. Instead, simply post day / week or even monthly totals of cash received to your accounting system which dramatically reduces your administrative workload.
6.2 PROFORMA INVOICES. Send proforma invoices to your clients via email to confirm booking details are correct before raising final invoices. Reduce errors with bookings and administration.
6.3 FINAL INVOICE PRODUCTION. Create multiple invoices in PDF format from service orders. Send invoices to your clients as email attachments with a covering message worded to a style of your choice.
6.4 ACCOUNT STATEMENT. Designed to go hand in hand with invoicing and credit control functionality. Account statements are a client level summary (in PDF format) of any outstanding invoices with details of interim payments and amounts outstanding. Clients with multiple invoices can see what they owe at a glance.
6.5 CREDIT CONTROL REPORT. A full list of outstanding debts with support for the batch emailing of reminder emails. The facility to send individual credit control reminders also exists at client level.
6.6 CASH RECEIPTING. Facility to receipt cash to a client account with auto apportionment across multiple outstanding invoices for any given account. Auto production of email to client confirming cash receipt.
6.7 FULL ACCOUNT HISTORY. Pet Sitter Plus tracks all client invoices and payments in a fully itemised account history.
6.8 INVOICE HISTORY ENQUIRY. In keeping with commercial accounts receivable modules, Pet Sitter Plus has a full invoice history enquiry with drill down to invoice and a summary of amounts outstanding.
6.9 FULL VAT ACCOUNTING. Petsitter+ incorporates accurate VAT reports for account receivable on cash basis or bills delivered basis.

7.0 Credit Control Functions

7.1 EMAIL TEMPLATES. Generate as many email templates as required for the automatic production of credit control reminder emails. Templates are also used for covering emails for invoice production and automatic notification of cash receipts.
7.2 EMAIL OPTIONS. Send email reminders either individually (through the client account interface) or in bulk (using the credit control report).
7.3 ACCOUNT STATEMENT. Designed to go hand in hand with invoicing and credit control functionality. Account statements are a client level summary (in PDF format) of any outstanding invoices showing details of interim payments and amounts outstanding. 8.0 Reporting

8.1 CASH RECEIVED REPORT. View cash received between any given date range.
8.2 VAT REPORTING. Based on cash received or bills delivered the report shows net amount, vat amount and total and VAT percentage. View for any date range.
8.3 CREDIT CONTROL REPORT – AGED DEBT LIST. View a list of all invoices outstanding between any date range. Report includes functionality to send reminder emails individually or in bulk (see credit control section for more details).
8.4 COMPENSATION REPORT. A summary report of compensation due to all sitters over any given date range with an option to drill down to see a detailed compensation listing for any given pet sitter.
8.5 UN-INVOICED ITEMS REPORT. A full list of un-invoiced service orders for any given date range. Includes a facility to select individual or multiple records and send invoices to clients via email with just a few mouse clicks.


9.0 System Administration

9.1 UPLOAD LOGO. Upload your company logo so that it appears on your invoice.
9.2 DIARY PERIODS. Services appear in diary columns according to the time set on the service. By setting default timeslots in this maintenance program, the user can govern the dairy period that services will appear in.
9.3 INVOICE. Contains many global settings such as company TAX code, TAX percentage, TAX Type (Sales Tax / VAT / GST) global date format, system currency, bank details (for inclusion on invoice) and various notepads. Information input on notepads appears on various account statements and invoices.
9.4 USERS. Setup all Pet Sitter Plus user accounts and govern access levels.
9.5 IMPORTS. Contains system backup and restore facility. Users can backup all their own data and store it on their local system hard drive. Users can then restore to any previous backup if required.
